Please follow the steps below. 

Step 1:
faculty coordinator; selection procedure

A student who wants to travel abroad for a study stay within the Erasmus + programme must meet the ERASMUS+ Programme Eligibility criteria and successfully complete the selection procedure at their faculty. For more detailed information about the possibilities of the study stay abroad, we recommend contacting the faculty coordinator first to find out information about the selection procedure, the foreign universities, fields of study, a submission of an application for a study stay abroad in Edison and other requirements.

Step 2:
foreign university; documents

    A list of Inter-institutional agreements can be found here.

    Number of students that can be sent to a study stay abroad to each partner university per academic year is stated in there.

    The website Erasmus student's reports database collects the experience of your colleagues who have already been on Erasmus and can be helpful to you.

    Learning Agreement for studies

    Please contact your Faculty Coordinator regarding the Learning Agreement (LA).

    LA is submitted to the Edison system and it must be confirmed by our and the foreign university.

    Learning Agreement consists of three parts.

    First part is filled before the study stay and covers the courses which the students will study at the university abroad.

    Once the student arrives at the host university, changes to the LA can be done (agreed upon all three parties – student, home university, host university).

    Last past is called the Transcript of Records (ToR) and it is a confirmation given by the receiving institution of (un)completed courses. The ToR must correspond with the final version of the Learning Agreement.

    Letter of Acceptance (LoA) and a schedule of the academic year of the foreign university

    Letter of Acceptance defines the period of admission to the foreign university and a schedule of the academic year - beginning of teaching and end of the examination period specifies the period of studies at the foreign university. This information is part of the Grand Agreement.

    Step 3:
    financial support; bank account; penalties

    Financing of the study stay abroad within the Erasmus+ Programme is provided by Grand Agreement.

    Financing

    The amount of financial support depends on the length of the study stay (number of months / days) abroad. For the purpose of calculating the scholarship, 30 days is considered one month.

    The scholarship covers the costs associated with studying abroad only partially, it is only a contribution to the increased costs associated with staying abroad. Therefore, the student's financial participation is assumed.

    Bank account

    The account must be maintained in the Czech Republic.

    The student should verify in their bank that the bank accepts payments in EUR to their bank account, otherwise, it will not be possible to make a bank transfer.

    Payment of the financial support

    The scholarship is paid after the signing of the Grand Agreement (by the student and the sending institution).

    The scholarships are divided according to the target country into three groups according to the difference in relative living costs (higher costs - medium costs - lower costs).

    Surcharge and refund of financial support – after the study stay is over

    It is necessary to observe the length of the study stay stated in the Grand Agreement and also to deliver a Confirmation of Erasmus+ Study period from the foreign university confirming the length of stay for the same period.

    The tolerance for a shorter stay is a maximum of 5 calendar days, but if the period of stay is shorter, the student is obliged to return the overpayment of financial support.

    Step 4:
    OLS test; travel insurance; grant agreement

    In this step, you should already have completed the Learning Agreement (LA) and the Letter of Acceptance (LoA). Information on these documents can be found in the section under "Step 2: foreign university, documents".

    Online language support (OLS)

    The Online Linguistic Support (OLS) is designed to assist Erasmus+ participants in improving their knowledge of the language in which they will work, study abroad so that they can make the most out of this experience.

    Travel insurance

    The conditions of the Erasmus + programme imply that the student is obliged to contract a medical insurance valid for the destination country for the duration of the stay abroad.

    The student submits a copy of the contract or the original confirmation of the agreed travel insurance (from-to) for the entire period of study abroad to the Grand Agreement

    Even if a student has a European Health Insurance Card (EHIC), this does not mean that health care abroad is free. An EHIC issued in the Czech Republic in the EU covers necessary health care, under the conditions given by the local health system. In most countries, you pay extra for health care and medicines, the amounts can be very high, co-payment or medical transport back to the Czech Republic, which is not covered by health insurance, is paid. Therefore, the student must have travel insurance arranged before leaving for a study stay.

    A student who participates in a study stay abroad within the Erasmus + program remains a student of a Czech university for the entire period of their stay at a foreign university.

    Grant Agreement

    We recommend to start the procedure of the signing of the Grant Agreement in advance (at least 3-4 weeks before departure). In case of late delivery of all documents, the scholarship may not be paid on time and the student may have complications with further administration.

    Before departure, the student must be duly registered to study at EDISON, otherwise it will not be possible to generate a participant contract in the system.

    Summary of steps and documents required for the settlement of the Grant Agreement:

    4) Letter of Acceptance and schedule of the academic year of the foreign university

    5) Travel insurance (send a copy of the contract by email to the university International Office)

    6) Enrol for studies

    7) Bank account (listed in Edison)

    8) Grant Agreement (signed at University International Office)

     

    Step 5:
    extension/shortening of a semester abroad

    You can extend or shorten your study stay only after it is agreed by your home university.

    Please contact the Institutional coordinator to discuss the finaly lenght of your stay. 

    As soon as you arrive at the host university, you should visit their study department. There you will be informed about the further procedure for enrolling in the study, or about other details of your stay abroad.

    In case of changes in the study plan upon arrival, the student is obliged to process the document Changes to the original Learning Agreement within 30 days from the beginning of the stay:

    The document must be approved by the foreign university and the domestic faculty.

    If you want to extend or shorten your study stay, it is necessary to inform University International Office at least one month before the end of your study stay.

    In order to fulfill the rules of the student mobility programme at VSB-TUO, you must have a mutualy signed Participation Agreement prior your departure.

    Please make sure that you do not start your studies abroad without that. 


    Step 6:
    documents before your stay ends

    After the end of the study stay, it is necessary to deliver:

    1. Confirmation of Erasmus+ Study Period

    You have to have the Confirmation of Erasmus + Study Period confirmed at the foreign university before your departure. This document must bear the original signature and the original stamp and it must be issued and signed on the last day of your study stay, otherwise this confirmation will not be recognized at VSB-TUO.

    Please remember to bring the confirmation to the University International Office no later than 14 days after the end of your study stay.  

    2. Transcript of Records

    The foreign university will decide how and when the Transcript of Records will be delivered to you (an overview of the achieved study results). Usually, this document is sent by the host institutions to the faculty coordinators by post within about a month after passing the student's exams. This list of study results must also be delivered to VSB-TUO in the original with a stamp and signature. Upon arrival, you can submit a copy of the transcript to the faculty coordinator, but the original of these study results is required by the faculty coordinator to complete student mobility.

    Step 7:
    Final reports

    After the study stay abroad is over, student is required to complete:

    A) Final Report - EU Survey

    Student will be sent an automatically generated email by the system on the day of the end of the mobility. The e-mail will be in Czech and English as follows: Erasmus + individual participant report request, sender: replies-will-be-discarded@ec.europa.eu.

    After clicking on the link provided in the email, the user will enter the questionnaire immediately. Fields marked with a red "*" are required - without them the report cannot be completed. Once the student has completed the report, click on "Submit" at the bottom of the report. In the upper right part, the report can be downloaded to PDF by clicking on "Download PDF version".

    The mobility participant must complete the report on the website within 30 days from the end of the study stay. After filling in the report, we recommend that you immediately download the questionnaire to PDF and send it by e-mail to the University International Office.

    B) Erasmus+ student mobility report: experience database

    Please note that in this report, you pass on information to other students who want to go on mobility and can give them answers to their questions. Therefore, we recommend that you take care when completing this final report.

    Step 8:
    after the study stay is over

    Please contact (even if your are not back in the Czech Republic)  your study department as soon as your study stay abroad is over.

    Originals of a Confirmation of Study Period and a Transcipt of Records must be delivered to the University International Office representatives.
